The honest comparison · Hotline

The hotline isn't the problem. The route to it is.

Anyone who urgently needs help picks up the phone — and that should stay that way. But the routine fault at the device never takes that route: find the number, wait in the queue, dictate the device. So the report simply doesn't happen. This comparison shows, without the sales pitch, what the hotline delivers, what stays unreported — and how a QR reporting path brings the two together.

Two routes, the same fault

What happens between the fault and the report.

It isn't the fault that costs the most — the route you expect of the person reporting decides whether anything gets reported at all.

Calling the hotline

Ties up two people — the reporter and your staff

  1. 01 Find the number — there's rarely one on the device
  2. 02 Hold queue, or voicemail after hours
  3. 03 Describe device, location and problem out loud
  4. 04 Note it down, transfer it, assign it — by hand
  5. 05 Follow-up question, because half is missing

Only what can't be avoided any longer gets reported. The routine fault runs on.

A scan at the device

Under a minute — no staff tied up

  1. 01 Scan — device and location are already captured
  2. 02 Pick a topic, optionally two sentences or a photo
  3. 03 Send — structured, with the right team, timestamped

At night, at the weekend, from visitors too — documented instead of dictated.

The reporter needs neither an app nor an account — that's exactly why they report at all.

What the hotline does well

Three things the phone does better.

An honest comparison starts with what the status quo gets right. When someone is in an urgent situation, another person on the phone is irreplaceable: they steady things, ask the follow-up question, decide. Complex cases too — "somehow it's all broken at once" — get sorted faster in a conversation than in any form.

So the question isn't "hotline or QR?". The question is why your most expensive resource — a person on the phone — spends the day taking routine reports that a scan captures more completely in thirty seconds.

  • Urgent escalation: stays a matter for the phone — immediate, human, binding
  • Complex, unclear cases: a conversation sorts what no form can sort
  • People who want to talk: not everyone likes forms — that's legitimate too

What stays unreported

The most expensive report is the one that never arrives.

The flickering light box, the sticking elevator, the empty dispenser: whoever is standing in front of it is rarely in urgent need — they're on their way somewhere else. For that situation a phone call is simply too expensive: find the number, wait, describe. So the obvious thing happens — nothing.

Then there's the timing: faults don't keep office hours. And the staffing: every call taken ties up someone who writes it down, transfers it and assigns it. The QR reporting path picks up exactly these cases — complete, assigned, and without your phone ringing.

  • Routine faults nobody calls about — but that run on and create follow-on costs
  • Reports outside office hours — evenings, weekends, public holidays
  • Visitors, tenants, passers-by: people without your hotline number in their head

Frequently asked questions

Hotline and QR reporting — in brief.

Does a QR reporting system replace our hotline?

No, and it shouldn't. The hotline stays the right route for urgent and complex cases. The QR reporting path catches the routine reports that today never arrive at all — and takes load off exactly the people who are needed on the phone.

Will we really receive fewer calls?

We can only give you a credible number after your pilot — it depends on how many of today's calls are routine reports. The mechanism behind it is simple, though: every report that comes in by scan is a call nobody has to take, note down and assign. That's why we recommend starting with one location — the analysis shows it in black and white.

What about people without a smartphone?

Nothing changes for them — the hotline number can sit on the report point and stays reachable. The QR route is an additional door, not a locked old one.

What does the QR reporting path cost compared with the hotline?

ServiceID costs from €0.50 per device and month, plus a one-time setup fee — no contract lock-in. What a call taken costs you, you know better than we do: staff time for answering, noting, transferring and following up, per case. The fault-cost calculator sets the two side by side.

How do the reports reach us?

By email to the mailboxes you define — structured, with device, location, topic, photo and timestamp. Any ticket system with an email inbox turns it into a case automatically; your processes behind it stay untouched.
