The honest comparison · Ticket system & CMMS

No new system — the missing way in.

Ticket systems and maintenance software manage cases cleanly — once a case exists. That's exactly where the gap sits: whoever is standing in front of the broken device has no login, doesn't know your terminology and certainly won't raise a ticket. ServiceID is the layer in front of it: one scan at the device, one structured report — delivered to where your system expects it anyway.

Three tools, three roles

Who does what here.

Not either/or: the three layers solve different problems — and work best one after the other.

  • 01 Administration

    The ticket system

Strong on queues, responsibilities and status — once a case exists. But devices and locations aren't a core concept, and the reporter needs access.

    • Stays: your process, your analytics
    • Missing: the way in from the device
  • 02 Maintenance

    CMMS / CAFM

Plans maintenance, manages asset structure and spare parts — built for your specialists. Visitors and tenants will never report in it.

    • Stays: planning & asset knowledge
    • Missing: the report from someone outside
  • 03 Reporting layer

    ServiceID in front of it

The scan at the device captures every report in structured form — from anyone, without a login — and delivers it by email to where your system turns it into a case.

    • Unambiguous device assignment at the object
    • Delivery into your existing system

How it fits together

From the scan to the ticket — without a project.

The connection is deliberately unspectacular: whatever an email mailbox can read, ServiceID can supply.

  1. Step 01

    A scan at the device.

The reporter scans the report point — device and location come with it, without them having to know or type anything. All that's left is picking the topic, optionally with a photo.

  2. Step 02

    A structured report.

The selection becomes a complete record: device, location, topic, description, photo, timestamp — instead of "something's stuck somewhere" in a catch-all inbox.

  3. Step 03

    A case in your system.

The report lands by email in the inbox of your ticket system or CMMS — which turns it into a case automatically, just like any other mail. Your processes behind it stay untouched.

Every report: device · location · topic · photo · timestamp

Connection

Compatible with what you already have.

No middleware, no interface project: delivery by email makes practically any ticket, task or mailbox system a recipient — via webhook & API if you prefer.

  • Jira
  • Zendesk
  • Trello
  • Asana
  • Gmail
  • Outlook / Exchange
  • ServiceNow
  • Any mail inbox

Frequently asked questions

Reporting layer and system — in brief.

Does ServiceID replace our ticket system or CMMS?

No — deliberately not. Your system carries on managing the cases; ServiceID makes sure the cases come into being at all, complete and clearly assigned. You're buying the missing front door, not a new house.

Do we need an interface or an IT project?

As a rule no: delivery runs by email to the addresses you define — any system with a mail inbox turns it into a case automatically. Anyone who wants to integrate more deeply can do so via webhook & API; nobody has to.

We already have a fault form on our website. Isn't that enough?

A central form doesn't know the device — the reporter would have to work out the location and device number themselves and type them in, and that's exactly where it fails. The report point on the device already carries that information: a scan is enough, and the assignment is error-free.

Can different reports run into different systems?

Yes. Recipients are configured per report point or device group — the elevator reports to building services, the printer to the IT helpdesk, each into their own mailbox or system.

What does the reporting layer cost?

From €0.50 per device and month, plus a one-time setup fee based on scope — no contract lock-in. Your existing system doesn't cost a cent more; it just gets better intake.
